Help 6.3 Generating a List of E-Mail Addresses

There can be many reasons for generating an e-mail membership lists. It can be a reliability issue with the club e-mailer on the website, especially with e-mail providers 'filtering' the e-mail and a lot of membership e-mails go missing or get sent to the SPAM box and not found by members. Others may prefer to so you have more control over e-mailing pictures and attachments. To generate an e-mail list using the club e-mailer utility then start by logging onto the members area, select Administration Tab then the Email Utility link. The Club E-Mail screen as shown in figure 1 will appear:

Change the following:

1) Under Send E-Mail dropdown box, select e-Mail No One, Create Log Only.

2) Select your ride group so correct e-mail addresses are extracted. Either Select Everyone box or the ride group or combination(s) of ride groups below the box. This will get all members prescribed to receive news from the respective ride group(s).

3) Put any text in Subject line, can be short as 1 character.

4) Put any text in the Message box, can be short as 1 character.

press send e-mail button to generate the list. The progress bar will display as it extracts the relevant members e-mail addresses (See figure 2). It is not actually e-mailing the members providing e-Mail No One, Create Log Only was set as per 1) above.

press View Outcome button when displayed.

 

The e-mail outcome screen will be displayed. Select the third file generated starting with the name Send_Email_notsent_Addresses_  for download by clicking Here link shown in figure 3. This contains the list of all e-mail addresses selected for e-mailing. This file can be opened with Notepad in Windows as its a plain text file.

Press Send Another E-mail to cleanup the website temporary areas and return to start screen for the club e-mailer.

For privacy reasons, it is recommended using the bcc field in the e-mailer program when sending an e-mail to members. This keeps others members e-mail addresses hidden from other members. In the to field enter the e-mailer senders e-mailer address so members can reply back to you.
